Sometimes you need to charge a deposit to confirm a reservation, or store a payment method for future charges. However, not all guests are comfortable sharing their card details over the phone or via email (MOTO). These methods aren’t secure and offer limited control to the guest.
innRoad offers a secure and flexible way to collect payments. You can create Payment Links to charge your guests and store their payment details for future usage.
Payment Links are only available for the innRoad Payments gateway. Contact support if you'd like to learn more.
When to use Payment Links
Use Payment Links when:
You receive a call-in reservation from a guest who hasn’t stayed with you before.
Your deposit policy requires a full or partial payment to confirm the reservation.
The guest’s payment method on file is invalid:
Card on file expired.
Card on file doesn’t have enough funds.
In any of these situations, send a Payment Link to securely collect payment and update the guest’s payment method on file.
What payment methods are supported
Guests can complete their payment through the Payment Link using the following methods:
- Cards, including:
- Visa
- AmericanExpress
- Discover
- MasterCard
- ApplePay
- Google Pay
Those payment methods allow you to charge the card on file later, and process refunds easily.
How to create a Payment Link
There are two main ways to create a Payment Link
Option 1: From the Reservation Details Sidebar
- Log in to innRoad.
- Open the reservation.
- Click Create Payment Link on the Reservation Details sidebar

Option 2: From the Reservation Folio
- Open the reservation.
- Go to Folio(s).
- Select the folio you'd like to charge.
- Click Pay, then choose Create Payment Link.
If the reservation already has Pending payment links, any Create Payment Link button will show the number of pending links in brackets, for example: Create Payment Link (2)
Complete the Payment Request
- In the Request Payment pop-up, double-check the selected folio.
If the reservation has multiple folios, the selected folio's balance will be used to pre-fill the amount. - Fill out the Amount, Expiration Date, and Reason fields:
- Amount: the amount you'd like to charge in this payment link.
- Expiration date: when the selected date arrives, this payment link will no longer be usable. Defaults to 2 weeks from today.
- Reason: explain to the guest why you’re requesting this payment.
- Click Request once ready.
Your link is ready to share.
Sharing the Payment Link
There are two main ways to share a Payment Link:
- Send Email
- Send a templated email with a button to access the link details.
By default, the guest's email on the reservation is pre-filled.

- Copy Link
- Copy the link and manually add it to an email sent outside of innRoad, or in a Guest Messaging SMS.

What happens when Payment Link is paid
When the guest pays the amount requested via Payment Link:
The payment is added to the selected folio.
The Reservation History is updated.
The new payment method overwrites the card on file.
The Payment Link status updates to Paid.
What the Guest Sees
When guests open the link, they’ll see a secure payment page with the amount, reason, and expiration date. They can complete payment using their preferred method.
Guests will see ApplePay or Google Pay payment options, depending on their device.
What the email template looks like
The email template will include:
- Property details:
- Your property's name
- Your property's logo
- The booking engine's header color
- Payment Link details:
- Amount
- Reason
- Due Date
- Contact Details:
- Email address defined in Booking Engine
