Thanks for connecting your Expedia Collect or Expedia Traveler’s Choice accounts to your innRoad account! This page will show you a few things you need to know about how your innRoad system is set up to handle these reservations.
Your property has been mapped so your reservations will appear in a separate Expedia Collect folio in their reservation. When you open a reservation for an Expedia Collect guest, you’ll notice that the Guest Folio has no charges in it. You’ll want to change the folio in the top right corner to the Expedia folio.
Once there you will see the charges listed.
You’ll also be able to go into Pay to charge the Expedia Virtual Card. It is very important that you do this to ensure that you’ve gotten paid from Expedia for this stay. You’ll charge a card the way that you normally charge cards through innRoad. If you do not have credit card processing connected through us, simply use the ellipsis next to the left of the Payment Info information (underneath the number 2 in the screenshot below) to pull the full credit card number and process it elsewhere.
- Note the Folio – you must be in the Expedia folio to process the Expedia payment.
- Double-check to make sure it’s the Expedia Virtual Card.
- Process the payment like you usually do for credit card payments.
We should also note that this method keeps the credit card area of the Billing Information clear so you can store the guest’s credit card information. We advise that you keep this information on hand in case you need to charge the guest for incidentals or damages.
Per Expedia’s policy, guests are not supposed to get the folio with the Expedia charges on them. Instead they should receive the blank Guest Folio with your policies on them (since they have already paid for their stay) – if they receive any folio at all.
We have set up an Expedia Merchant Account for you in innRoad to keep track of the reservations that have come in via Expedia Collect. Note that this account has very specific settings, so please don’t change them at all. Also, your Expedia ID number is located in this account (in the parentheses) so you’ll always have it on hand if you need it.
This account is helpful when you’re reconciling your reports to make sure you’ve accounted for all reservations financially. You’ll be able to go into Accounts and click on the Expedia Merchant account, then go to the Reservations tab and find all reservations booked via Expedia Collect in this section.
One last thing: if you ever need to find the Expedia Virtual Card for a reservation, you can do that right on the login page for Expedia Partner Central (https://www.expediapartnercentral.com/), below the sign-in area:
