Multiple Folios in a Reservation

Step 1: To create multiple folios, go to the reservation and click into the folio(s) tab. Once in the folio, click the new folio icon as highlighted below:

Step 2: Name your new folio and add a description. Click Save on the Folio Details Window

Step 3: Click on Save on the Reservation

You may click on the Move button from the Guest Folio and then select the items you wish to move to the additional folio.

All folios associated to this reservation can be found above Line Items in the drop down as shown below:

Scenarios when multiple folios can be created:

  • In a group reservation, when payment for all reservations is being made by a single reservation or the group account. In this case the room charges or all charges associated to the reservation, can be moved to the main folio from the reservation folio and once done, can be paid off by a single reservation/ account.

 

  • For reservations where the payment is via a third party source like Expedia or any other source, source folio needs to be created to route the room charges to the source folio.

 

  • Most of the time, a property would not want to disclose the charges paid to 3rd Parties such as OTAs, hence all such charges would be moved to Expedia folio.

 

  • In cases when the guest needs to an invoice to show up just the room charges or a type of charge on one folio and rest charges on another folio, multiple folio options can be used.
