Introduction
innRoad is excited to introduce a new Field Configuration capability that allows properties to:
- Collect additional information about reservations and guests
- Add desired fields to innCenter and specify if fields are required
- Add desired fields to the Booking Engine’s checkout page and specify if fields are required
- Add desired fields to the Online Check-in process and specify if fields are required
- Add custom fields to collect reservation or guest related information on innCenter and Booking Engine
- For example, a ski-resort might be interested in gathering info with a “Ski Ability” field, while a marina might want to capture info about a reservation’s “Boat Length”.
The Field Configuration module is available under Setup to access the controls:

- Fields are configured at the property level, so multi property clients must select a property to configure fields.
- See Entitlement Updates for information about controlling who can access the new field configuration pages
Guest Profile Field Configuration
The Guest Profile tab includes a library of additional fields that can be used to collect information about guests. Each property can choose which fields they would like to enable including:
- innCenter: specify if the field is visible and required within innCenter
- Booking Engine: specify if the field is visible and required on the Booking Engine checkout page
- Guest Portal: specify if field is visible and required during the Online Check-in process
Field Name | Description |
Language Preference | The language preference of the guest, defaults to English |
Room Preference | Textbox to capture the room preference of guest |
Allergies | Textbox for allergies of the guest |
DOB* | Date selector for DOB of the guest |
Gender* | Dropdown to select gender of the guest |
Nationality* | Dropdown menu that contains a list of all nationalities |
Birthplace* | Textbox to add a birthplace of the guest |
*Note: DOB, Gender, Nationality and Birthplace are considered sensitive information. Only select roles can view and edit this information within innCenter. See Entitlement Updates for more information.
Reservations Field Configuration
The Reservations tab allows you to configure the visibility of the Vehicle Info section
- innCenter: Turn the toggle off to hide the Vehicle Info section on the Reservation page. This is useful for properties that don’t track guest vehicles.
- Booking Engine: Turn the toggle on to ask guests if they will be parking a vehicle at your property and collect the vehicle info.
- Guest Portal: Turn the toggle on to ask guests if they will be parking a vehicle at your property and collect the vehicle info during the Online Check-in process
Custom Field Configuration
The custom fields tab allows you to create up to 10 custom fields to capture any additional information you’d like to collect about your reservations or guests. Custom fields can either be a text field or a dropdown with multiple options.
Creating Custom Fields
Click the Add New Label button and complete the information in the custom field table

In the example below, Rewards Number is a text field and Meal Preference is a Dropdown
Creating Dropdown Custom Fields
- The Add Options + button is activated when Label Type is set to Dropdown
- Click “Add options+” to load the Options modal and configure up to 10 dropdown values
- Once options are added, the user can specify toggles for each platform and click save
Editing Custom Fields
Click the edit icon to modify a custom field. The Label Type & Type setting cannot be changed for an existing field. Dropdown options can be edited with the Edit Options link.
Deleting Custom Fields
Click the delete icon to remove a custom field and a confirmation is displayed to confirm the deletion. When a field is deleted, all associated data in reservations or profiles is deleted and can NOT be retrieved.
If you no longer wish to display or capture an existing field, but want to retain the existing data, you can alternatively hide the field by clicking the Display toggle OFF.
innCenter View
Now that we know how to set up Field Configuration, let’s look at how these fields are displayed in innCenter.
Guest Profile
The Guest profile fields that are toggled ON for innCenter, are included in the additional info section of the Guest profile. This includes any custom Guest Profile fields that were created.
Reservations
Reservation type custom fields are placed in an additional info section on the reservation, under the Vehicle Info.
Booking Engine Updates

The Guest Profile fields that you configured for your Booking Engine are displayed in the additional guest info section
Additional Reservation Info
The Vehicle Info section allows guests to optionally enter their Vehicle information. This section is set to “No” and is collapsed by default.
Reservation custom fields are placed in an additional info section on the reservation, under the Vehicle Info section.
Online Check-In
Please refer to Guest Portal guide for more details on the Online Check-in process and custom fields.
Entitlement Updates
The Field Configuration page is accessible for users that have the new entitlement “Field Configuration” under Standard Functions on the Roles page. By default, only the Administrator role has access to the Field Configuration.
The “Access Guest Sensitive Information” controls if a user can access the sensitive guest profile fields that are configured for your property including DOB, Gender, Nationality and Birthplace.
Reservation Details Report
All the new fields are available under the Reservation Details Report. The information saved for the primary guest on the reservation will be added to the report which is a downloadable excel sheet.
Note: Vehicle information is available in the Vehicle List Report.
