Task List / Filters

Find and manage tasks easily with the new task list interface.

  • Date: filter tasks by “due date”.
  • Status: Simply click on a status to see the associated tasks of that status.
  • Search: use the search bar to search across all task fields.
  • Sort: click on the header of the desired column to sort.
  • Filter: Click to refine the displayed results by Task Category,Task Type,Zone and Assigned

Create New Tasks

Create, View and Update tasks for:

  • Reservations
  • Accounts
  • Room (e.g. repair AC in an unoccupied room # 201)
  • Zone (e.g. 1st Floor hallway, 2nd floor hallway, pool, etc.)

Task Details

View and Update tasks easily on the task details screen.

  • Click on a task to quickly view task details.
  • Update all task fields by clicking the pencil icon.
  • Staff members can complete a task by clicking on the “Complete Task” button.
  • Add remarks without editing the task details. Enter remarks and click the check mark icon that appears in the remarks box.

Manage tasks within a Reservation

Inside a reservation, the Tasks section is separate from Notes, to make it easy to locate, manage, and create new tasks and notes.

  • Tasks: used for items that require an action (e.g. set up crib in room).
    • Tasks created within a reservation will automatically show up in your task list.
  • Notes: used to record information (e.g. traveling with pet).

Assign Tasks

You can assign tasks to a user (staff member) in 4 different ways.

  • Assign the tasks inside the reservation (edit “assignee” field).
  • Inline assignment on task list (click into “assigned” field as seen below).
  • Assignment in the task details (edit “assignee” field).
  • Bulk assignment of tasks (select tasks you’d like to assign and press “Bulk action” > “AssignStaff”).

When a task is assigned to a staff member it will show up in their personal task list.

Status Update

You can quickly update the task status in 4 different ways.

  • Inline Status change on the task list by clicking into “status” field.
  • Promote the task to the next status by clicking on the “Complete Task” button in task details.
  • The status change in edit task details view (edit “Status” field).
  • Bulk status change for tasks (select tasks you’d like to update and press “Bulk Action > "Change Status”).

When a “Stay-Over Cleaning” or “Full Cleaning” task is completed, the room status for the associated room will also be updated accordingly.

Additional custom task types can be added by going to Setup > Task Management. See this article for more information
