Locating an Existing Reservation

Once a reservation has been created in innRoad, in can be located by performing a Basic Search, performing an Advanced Search, or by using a Predefined Query.
 

Locating a Reservation by Performing a Basic Search:

By performing a Basic Search, you can locate an existing reservation using the following: 

  • Guest first and/or last name
  • Reservation number
  • External reservation number (from booking.com or Expedia)

1.Click on the Reservation module at the top of the screen.

2.Click on Reservations.

3. Enter the search criteria into the appropriate fields.

4. Click on Search.

5. Click on the Guest Name of any of the reservations in the list to display its details.

Tips:
 

  • Entering search criteria into multiple fields will return reservations that satisfy ALL of the criteria.
  • For example, searching for Name: Thomas will return all reservations for guests with a first or last name of Thomas, while searching for Bob Thomas would return only reservations with the name of Bob Thomas.

 

Locating a Reservation by Performing an Advanced Search:

By performing an Advanced Search, you can locate an existing reservation using any combination of the following criteria:
 

  • Guest name
  • Guest email
  • Guest phone
  • Guest country/state
  • Account name or number of an associated Corporate/Member, Unit Owner, or Guest Profile account
  • Client type
  • Reservation number
  • Reservation status
  • The date range the reservation is scheduled to stay on
  • The date range the reservation was booked on
  • The rate plan and any promo code associated with the rate
  • The room class and room name/number
  • The last four digits of the guest’s credit card number
  • Tax exempt status of the reservation
  • The source of the reservation
  • The marketing segment or referral the reservation is associated with

 

1.Click on the Reservation module at the top of the screen.

2.Click on Reservations.

3. Click on Advanced Search.

4. Enter the search criteria into the appropriate fields​.

5. Click on Search.

6. Click on the Guest Name of any of the reservations in the list to display its details.

Tips:
 

  • Entering search criteria into multiple fields will return reservations that satisfy ALL of the criteria.
  • For example, searching for Market Segment: GDS will return all reservations with a Market Segment of GDS, while searching for Market Segment: GDS and Booked on: From: 8/1/2011 To: 8/31/2011 will return only reservations with a Market Segment of GDS AND that were booked in the month of August 2011.
  •  Likewise, searching for Source: Expedia and Rate Plan: AAA and Stay on: From: 1/1/2016 To: 12/31/2016 will return only reservations that have a Source of Expedia AND a Rate Plan of AAA AND Stayed in the year 2016.



 

Locating a Reservation by Using a Predefined Query:​

Predefined queries are built in lists that allow you to quickly view reservations that are related to a particular date.

1.  Click on the Reservation module at the top of the screen.

2. Click on Reservations.

3. Click on the Date Box next to the Basic Search.

4. Change the date.

5. Click on In House, All Arrivals, All Departures, Unassigned, or New Reservations to view all reservations that fall into that category.

6. Click on the Guest Name of any of the reservations in the list to display its details.

 

Tips:
 

  • The In House Guests search will include any guests that have not been checked out for previous dates and still have a status of In House.
