Report Description & Purpose
The Guest Registration Card or Reg Card is a form which contains all the necessary information about the guest and the room.
This is handed to the guest on arrival as it is the source of information about guest and acts as a legal proof for both the hotel and guest.
It can be pulled directly on a specific reservation and from the reservations home page.
The 2 options to pull up this report is WITH and WITHOUT tax.
Steps to print a guest statement or Registration Card

Go to Reservations > Reservations> search for the reservation > Click on the reports icon > On the list report pop-up, select radio button for guest registration> Print
- Use this method to print them in Batch. Click the All Arrivals Box to see the list of the days arrivals > click the selector box on the left f the list for the ones you would like to print >click on the Reports icon to print them all.
- Search for a reservation > open the reservation > Click on the report box > On the dropdown select which report you want > Print
Where does the information come from -
Parts A, B and C are similar in content and information to the guest statement form.
Part D is unique to the Guest Registration - It is from two separate areas and both can be updated by you.
General Policy - Set up > Property > Details > Policy
Deposit/Cancellation Policies - Inventory > Policies > Policy text, if any, on each policy
- Part A: Report Design - This section will show the property's contact information as well as all of the guest's information. You may also be able to see the reservation's detailed breakdown (with or without taxes).
- Part B: Charges - In this section you may see when the official charges will be posted/ or if payment has already have been captured. There is also a more thorough description of the guests' charges.
- Part C: Payments - This section includes the date/category/description and all of the payments captured for the guest.
Payment Authorization and information:
If there is a payment that has been processed on the reservation, payment authorization disclaimer is displayed under the payments section.
In case of no payment processed, payment information is displayed under the payments section.
Part D: Policy Information
The policy information for the property is printed on the last part of this form.
This policy information is retrieved from two areas in the system:
- Set up > Property > Details > Policy
- Inventory > Policies > Policy text, if any, on each policy
