New Reservation Dashboard and Search

Reservation Dashboard

This is the first screen you'll see when you log in to your innRoad account. Your Reservation Dashboard shows you a quick overview of what's happening at your property today. 




You will see all guests that are currently in-house, or in other words, checked-in reservations by default. The date picker is set to today, and you can select a different date to see the stats for that date.




 

You can also click the dashboard filters to change the list of reservations you are currently viewing.

Dashboard Filters

The 4 circle charts below show a breakdown of the current status of your reservations for the selected date:


  • New Reservations: Reservations booked today.

  • In-house: Reservations that have checked in.

  • Arrivals:

    • Total Arrivals: Reservations checking in today.

    • Pending Arrivals: Reservations yet to check in.

  • Departures:

    • Total Departures: Reservations checking out today.

    • Pending Departures: Reservations yet to check out.


You can click on the date picker and change the date to see New Reservations, Arrivals and Departures for a specific date. 

You can click on specific areas of the graph to filter the list of reservations. 

 

New Reservations

All reservations booked on the selected date.


Click anywhere on the circle to see all reservations booked on the selected date .


Changing the selected date will change the list of reservations shown, for example switching to October 1 shows 116 reservations booked on that date

In House Guests

All reservations that are currently in-house, regardless of selected date.


Click anywhere on the circle to see all currently checked in reservations, also known as in-house guests.

 

Arrivals 

All reservations with check-in date equal to selected date.
Pending arrivals haven't checked-in yet.
Completed arrivals have already checked-in.


Click the middle section to see a list of all reservations checking-in for the selected datee


Click the colored part of the graph to view reservations arriving on the selected date that have already checked in.       

     

Click the gray part of the graph or "# pending" to view reservations arriving on the selected date that haven't checked in yet.

 

Departures 

All reservations with check-out date equal to selected date.
Pending departures haven't checked-out yet.
Completed departures have already checked-out.


Click the middle section to see a list of all departures:

Click the colored part of the graph to see completed departures for the selected day:


Click "pending" or the grey part of the graph to see pending departures for the selected date:


Date Selector 

Select a date in the data selector to view New Reservations, Arrivals and Departures for the selected day.



The date is set to today by default.


Selecting a date will not affect the number of in-house reservations. 


Reservation Grid

Search Results

The reservation list includes all the crucial information for your reservations. 

For example:

  1. Multi room bookings will split into multiple rows, one for each room.
  2. Guest Name and Account Name are in a single column. 
  3. You can sort results by guest or account name.
  4. Guest names will now include any secondary guests that match a search condition

The dashboard results list includes the following items:

 Property Displays the property where the reservation is booked. If a property is already selected, this column is omitted.
 Guest Name / Account Name Guest and account name fields are in a single column. Account names are displayed in parentheses, like this: (Booking.com Corporate Account)
 Res# Confirmation number (Shows MR icon for multi-room reservations)
 Guests Total number of guests for a reservation (Adults + Children)
 Status The reservation status (in-house, confirmed, reserved, etc.)
 Room # The room reserved for the reservation
 Arrive The arrival date and time for the reservation
 Depart The departure date and time for the reservation
 Nights The number of nights reserved for the booking
 Balance Shows the total balance due for the reservation
 Icons

 Displays ‘A’ icon for add-ons on a reservation
 Displays ‘i’ icon for open tasks on a reservation

Search Result Sorting

When you open the reservation dashboard, all results are sorted by arrival date along with the arrival time. 

  • Reservations arriving on the same day are sorted using the expected arrival time in ascending order.
    • For example, 2 reservations arrive on December 1st. 
      • Reservation 1 arrives at 11:00 AM. 
      • Reservation 2 arrives at 01:00 PM.
      • Reservation 1 will be first in the search results.

Reservations that do not contain an expected arrival time are displayed last.


Changing Sort order or column to sort by

Click any of the result columns to sort results in ascending order by that column. Click the same column again to sort data in descending order.


Sort results by the Guest or Account name by clicking on the"Guest name" or "Account" labels.

  • Click the Guest Name to sort results by the guest’s name:
  • Click "Account" to sort by Account name:
    • Reservations linked to accounts are first, followed by reservations without accounts:

Scroll to see more results

Scroll down to see the next set of results. You can keep scrolling down to load more results.

Basic Search

Search for reservations by guest name, reservation number, room number or acconut.


  • Current & Future Reservations

    Shows reservations with check-out dates today or in the future.
  • All Reservations

    Includes all reservations, past and future.
By default, the selector is set to "Current & Future Reservations". 

To search for past stays, switch to "All Reservations".

Search Box 

Use a single search field to find reservations by their Guest Name, Account Name, Reservation Number and Room Number.

Guest Name

Returns any reservation where Primary or Additional Guest Names match the entered text. If the primary guest is John, and the secondary guest is Jane, you can search for Jane to find the matching reservation.

Account Name

Returns any reservation linked to an account that matches the text entered.  

Reservation Number

Looks for an exact match to return a reservatoin.
For example, a search for 123 will only return a reservation number 123, and will not fetch 12345 in the results.

Room Number

Looks for an exact match to return room number, for example, a search for 10 will only return room number 10, and will not fetch room number 100 or 101 in the results

 

Advanced Search

Advanced search is a great way to get a list of reservations that match specific criteria. 

Search Options

Advanced search contains 3 categories:

Reservation Info

Reservation Info parameters:

Field NameDescription
Stay fromTime period when the guest is staying at the property
Book fromSelect period when the reservation was booked.
Reservation DetailsAdditional filters for reservations:
  1. Unassigned – Reservations without an assigned room.
  2. Outstanding balance – Reservations with pending payment.
  3. Task – Reservations with pending tasks.
  4. No payment method – Reservations where no payment method is set.
  5. Add-on – Reservations with incidentals. 
  6. Pre-Check-in – reservations that completed pre-check-in.
  7. Pre-Check-out - reservations that completed pre-check-out..
Arrivals&DeparturesChoose between arrivals and departures. This option is only available when "Stay From" range is selected.
StatusChoose reservation status, or multiple statuses
Rate PlanShows all active rate plans and supports multi-select
Room ClassShows all active room classes and supports multi-select
Room #Shows all active room numbers and supports multi-select

 

Guest Info

Those fields are helpful if you want to segment search results by specific details about the guest. For example, find all reservations from the United Kingdom, or all reservations linked to a Wedding group.

Marketing Info

Use the marketing info section to find all reservations from a specfiic source, like an OTA, or that belong to a specific referral or Market Segment.

Mobile View

The mobile view of the application provides key operational stats for the day on the landing page.


  • Date Selector
    • Defaults to today’s date, with counts for Arrivals and Departures.
    • Select another date to update these counts.
  • Reservation Lists
    • Tap New Reservations, In-House, Arrivals, or Departures to view the full list for the day.
    • View completed or pending arrivals and departures by navigating to the corresponding dashboard section.
  • Search Features
    • Both Basic Search and Advanced Search are fully supported on mobile devices for quick access to reservation details.
