The Cancellations Report provides a detailed audit log of all reservation cancellations at your property. It records who cancelled, when the cancellation occurred, the reason, and the impact on business operations.
This report helps you monitor cancellation trends and track their effect across all of your properties.
When to use the Cancellations report
Use the Cancellations report to:
- Review the details about cancelled reservations.
- Measure potential lost revenue due to cancellations.
- Observe cancellation patterns by date, customer type, channel (e.g., OTA vs direct).
- Identify peak cancellation periods or high-risk customer profiles.
- Get data to improve booking and cancellation policies.
The Cancellation report shows a list of cancelled reservations in your entire account. If you want to see cancelled reservations for a specific property, select the property in the Property Filter in the top-right corner:
How to configure the Cancellation report:
Step 1: Select Date Range
This date picker is the date the reservation was cancelled, not the dates of the actual stay.
Choose either the quick filter options or set a custom date range.
- Quick filter options:
- Today - Reservations cancelled today.
- Yesterday - Reservations cancelled yesterday.
- Last Week - Reservations cancelled in the past week.
- Last 14 days- Reservations cancelled in the last 14 days.
- Last Month - Reservations cancelled in the last month.
- Month To Date - Reservations cancelled in the current month.
- Year To Date - Reservations cancelled in the current year.
Step 2: Select Inputs
Provides the option to run the report for cancelled reservations with Open Balances
Step 3: Customize Detailed View:
You can sort the report's detailed view section by the selected field.
The report data will be sorted in ascending order.
- Cancelled Date
- Stay On Date
Step 4: Set up Advanced Filters (optional)
The report also includes advanced filters to help you narrow down the data:
- Choose Stay date range - Reservations cancelled within the provided stay on date range.
- Breakout Summary By:
- None - No specifications
- Room Class - provides data with the room class detail
- Channel - provides data by channel
After selecting the filters that fit your need, click Run Report.
Report Output
The report includes 2 sections:
Summary view:
A short summary of the selected date range, with high-level statistics.
- Cancelled reservations - Total number of cancelled reservations and number of room nights associated with them
- Revenue Fees - The sum of lost revenues and cancellation fees associated to cancelled reservations
- Outstanding - A summary of the number of cancelled reservations with unpaid balance or refund.
The Detailed view is a list of all cancelled reservations included when running the report:
