You can use the Policies section within the Inventory module to set your automated polices for deposit, cancellation, no-shows, and payment.
 

Creating a Policy:


Here are the steps to create a policy.

  1. Select a property from the property filter on the top and click on the New Policy button
  2. Enter the policy's name and select the appropriate policy type from the drop-down menu below


innRoad offers four policy types:

  1. Deposit prompts the guest to make payment at the time of booking.
  2. Cancellation prompts you to take a cancellation fee if the cancellation falls within a given window. 
  3. No Show prompts you to take payment if no notice of cancellation is given.
  4. Check In prompts you to take authorization or payment at the time you check a reservation in.


Select the policy attributes:

  • Deposit and No Show allow you to take payment for a number of nights, a percentage, or a flat fee
    • % of Room charges--> calculates the % from (room charges + taxes)

    • % of Total Charges--> calculates the % from (room charges + taxes + fess + incidentals)

  • Cancellation allows you to set a cancellation window (to take effect either a certain number of days after the reservation or a certain number of days before arrival) and take payment for a number of nights, a percentage, or a flat fee.
  • Check In allows you to set a percentage authorization or capture upon arrival. 


Enter a policy text and description. The text is for you to keep track of your policies. The description will appear on the guest's registration card.

Associate sources by clicking associate sources and moving all or some of your available sources to the right. This way you can set different policies for different sources.

Repeat the process for Seasons, Room Classes and Rate Plans. Again, you can vary your policies according to each of these categories.

Click on Save to activate the policy.

You can view a sample completed Check In Policy below. Please note that any new policies will apply to new reservations only.
