List Management

Here you are able to manage the dropdown options found in the Reservations and Guest Services sections in innRoad.

1. Click on Setup > List Management

2. There are two tabs: Master (for multi-property accounts) and Property
                - Any changes or additions you want to make will be done in the Master tab.
                - System Items are standard and cannot be deleted or edited.

3. to add your own Custom Items to any of the lists, navigate to the list you want to add to and 

  • Click New Item, this will open up a field at the bottom of the list to enter in a new item
  • The Name and Description are generally kept the same
  • The Status should be kept as Active if this is a custom item you plan to use
  • Click Save when you are done.  
  • The next time you access that particular dropdown, your new option will be there.

4. If there are items on the list you no longer wish to use you can also check the box next to an existing item to Edit or Delete it.  You can only delete it if it has never been used.  If it has been used, you can change it to Inactive which will make it no longer show up in the dropdown but will show up in reports.  You can also change it to Obsolete which will make it no longer show up in the dropdown and it will not show up in reports.  If you need to see it in a report later, you can change them back to active or inactive and see them on a report and them make them obsolete again.

- Referral: This is found in the Guest Info tab of a Reservation; the "how did you hear about us question." This is an external classification of guests and can be reported on for marketing e.g. your website, word of mouth, social media, etc.  This will be visible to your guests on the Booking Engine Link.

- Market Segment: This is found in the Guest Info tab of a Reservation.  This is an internal classification of guests and can be reported on for marketing e.g. Transient, Social Media, Groups/Events, etc

- Maintenance Reason:  This dropdown is used in the Guest Services Tab -  Internal structure of why a room would be taken out of availability e.g. renovation, broken light, hold, etc

- Notes Type: This is found in the Guest Info tab of a Reservation.  

- Housekeeping Zones:  This dropdown will appear in the Guest Services Tab.  Classification of rooms for housekeeping scheduling.  Housekeeping assignment sheets can be printed out by Zone.  Zones often correspond to room classes, wings, cardinal directions, or floors of a hotel e.g. 1st floor, East Wing, Queen Suites, etc

- Rate Plan: Merchandising of rates. Individual rate plans appear on the booking engine and change the way your users search for Rates e.g. AAA, Military, 15% off, etc.

If you have Rates V2 you will NOT have a Rate Plan List option - If you cannot tell what version you have click here - Am I Version ONE or Version TWO?
