Document Templates changes

You can use the Document Templates Setup menu to view, create, or edit templated emails, or attachment and guest form templates.


We redesigned Document Templates to view your current list of templates easier by displaying more information in the list view. We also made creating or updating email and document templates more natural and intuitive.  


What changed

Functional changes

There are major changes intended to simplify the customization of templates:

BeforeNow
Document Templates could have multiple Types.
A template could be used both as a Scheduled or Manual Email, and be printed as a Guest Registration Form. 
Templates can only have 1 Type.
A template can't both be used as a Scheduled or Manual Email, and be printed as a Guest Registration Form. 
A template could have different attachments for different triggers.
You could send the Guest Registration when reservation changes to Reserved, and send the Statement when reservatoin changes to Confirmed.

A single template can't have different attachments for different triggers.

Your email template always sends the same set of attachments every time. 


Document Templates included the following list of functions:
  • Reservation Confirmation Email to schedule emails or send a templated email manually.
  • Reservation Confirmation Letter to include as an attachment to Reservation Confirmation Emails or print from the Reservation Details page.
Document Templates now use Types instead of Function to make the meaning clearer.
  • Reservation Confirmation Email is now just Email.
  • Reservation Confirmation Letter is now just Document.


The Document Templates List view

You can now see more information about your document templates without opening the template, including:

  • Type - to identify the main function of a specific template
  • Source - to display the sources the template is applicable to
  • Properties - multi-property clients can immediately see if a template is available for multiple properties 
  • Preview - hover on the template name to see a preview of the template:

You can also filter the displayed templates by Types, Sources or Properties.


To filter by Type:

  • Click the Types field
  • Select 1 or more Types to filter by
  • Optionally, apply other filtering options
  • Click Search to filter the displayed templates.

To filter by Source:

  • Click the Sources field
  • Select one or more Sources that you'd like your templates filtered by
  • Optionally, apply other filtering options
  • Click Search to filter the displayed templates

To filter by Status:

  • Click the Status field
  • Select the relevant Status to filter by
  • Optionally, apply other filtering options
  • Click Search to filter the displayed templates.

Creating a new template or editing an existing template is now much easier.

  • See the template setup and content on the same page.
  • Add Images to the template easily by copy-pasting or uploading images from your device.
  • Search and filter the list of custom fields to easily customize your templates:


  • Create a sending schedule for your template quickly and see the full schedule at a glance:
