Notes Report

The Notes Report is typically used by property managers, front desk staff, or housekeeping to document, track, and communicate key information related to guests, rooms, maintenance, or daily operations.


Purpose:

A Notes Report compiles all reservation notes entered by guests or by the staff at the property. These notes can be:

  • Guest-related (VIP, complaints, preferences)
    Example- Mr. Smith prefers a room away from the elevator

  • Room-related (maintenance issues, deep cleaning)
    Example - Room 204 needs AC repair – guest reported leak

  • Reservation-related (early check-in requests, payment concerns)
    Example - Late arrival after 11 PM – flight BA270 delayed.

  • Operational (Emails, wakeup call, food allergies etc.)
    Example-  "Mr. Smith is allergic to peanuts and wants a wake up call at 6:00 AM everyday.


Note: You can create the desired note types by navigating to Setup > List Management > Notes Type> New Item.




The Notes report shows notes in your entire account.  If you want to see notes for a specific property, select the property in the Property Filter in the top-right corner:



How to Configure Notes Report:

Step 1: Select date range

Choose the reservation stay date range that you would like to see the notes for. 

You can use quick filters or set a custom date range.

Quick filter options:

  • Today
  • Tomorrow
  • Yesterday
  • This Week
  • Next Week


Step 2: Select Inputs

Choose the types of inputs you'd like to see in the report's data, you may select all or one from the drop down list:

  • Internal: Internal notes for the staff
  • Housekeeping: Notes for Housekeeping
  • Request: Any request by the guest 
  • Wake Up Call: Guests' request
  • Guest Note: Any special note etc.


Step 3: Customize how to sort the data

Choose which column to sort the report by:


Sorting options:

  • Reservation #
  • Room #
  • Guest Name
  • Status
  • Stay Dates
  • Note Type
  • Subject
  • Description


Step 4: Advanced Inputs (Optional)

The "Advanced Inputs" allows you to apply additional filters the report's data.


You can filter the data by:

  • Reservation Status: Reserved; Confirmed; Cancelled; Guaranteed; In-House; Departed; On-Hold; Quote; No Show
  • Include Deleted Notes: In case you would like to check the deleted notes.
